1. Who We Are

This website (the “Site”) is operated by Neural Hive Technologies Private Limited (“Neural Hive”, “we”, “us” or “our”), a company incorporated in India with its registered office at 301-C/E Poonam Chambers, A Wing, Dr. Annie Besant Road, Worli, Mumbai 400 018, India. We build technology for orthodontic care, including the Kea treatment-planning platform, Crystle aligners, the Irific scanner, aligner materials and Stagerbee services.

This Privacy Policy explains what personal data we collect through the Site, why we collect it, and the choices and rights you have. We process personal data in accordance with India’s Digital Personal Data Protection Act, 2023 (the “DPDP Act”) and, where applicable to visitors from other regions, with due regard to comparable data-protection laws such as the EU General Data Protection Regulation (GDPR).

2. Scope of This Policy

This policy covers the Site only. The Site is an informational and marketing website: it describes our products and services for dental and orthodontic professionals. No patient or clinical data is collected through this Site. Use of our products (such as the Kea platform) is governed by separate agreements and privacy terms provided to customers of those products.

3. Information We Collect

We collect only the following data through the Site:

• Newsletter subscriptions — your email address, when you subscribe to our blog and updates.
• Contact enquiries — your name, email address, the product category you select, and your message, when you submit our contact form.
• Aggregate traffic analytics — we use Cloudflare Web Analytics, a cookieless, privacy-first measurement service, to understand overall page traffic. It does not use cookies or fingerprinting and does not collect data that identifies you. We do not use any advertising trackers or tracking pixels.
• Administrative session cookie — a strictly necessary, login-only cookie set exclusively for our own authorised staff who administer the Site. No cookies are set for ordinary visitors.

Your IP address is processed transiently in server memory for rate limiting and abuse prevention, but it is not stored in our analytics records.

• To send you the newsletter and blog updates you subscribed to.
• To respond to your contact enquiries about our products and services.
• To understand aggregate Site usage and improve our content.
• To keep the Site secure and prevent abuse of our forms.
• To comply with applicable law.

5. Legal Basis and Consent

Under the DPDP Act, we process your personal data for lawful purposes with your consent or for certain legitimate uses recognised by law. Specifically:

• Newsletter — we rely on your consent, given when you enter your email address and subscribe. You may withdraw consent at any time by unsubscribing (see Section 6).
• Contact enquiries — we process the details you voluntarily provide in order to respond to your request.
• Analytics and security — we rely on our legitimate interest in operating, securing and improving the Site, using minimal, non-identifying data.

6. Email Practices and Unsubscribing

When you subscribe to our newsletter, we send a welcome email confirming your subscription. Every newsletter and blog-notification email we send includes an unsubscribe link. Unsubscribing is one click: opening the link immediately removes you from our mailing list, with no login or confirmation step required. We honour unsubscribe requests promptly and do not send further marketing emails after you opt out, consistent with applicable email-marketing laws (including CAN-SPAM for US recipients).

7. Data Retention

• Contact enquiries — retained for up to 24 months from submission, unless a longer period is needed to handle an ongoing matter or comply with law.
• Newsletter subscriptions — retained until you unsubscribe. After you unsubscribe, your address is retained only in a suppression record so that we do not email you again.
• Aggregate traffic analytics — processed by Cloudflare Web Analytics; we do not store first-party page-view records.

We may adjust these periods where required by law; the current periods will always be stated in this policy.

8. Service Providers (Data Processors)

We use a small number of service providers to operate the Site. They process data only on our instructions:

• Google (Gmail) — delivery of transactional and newsletter emails.
• Amazon Web Services (AWS) — hosting, in the Asia Pacific (Mumbai) region located in India.
• Cloudinary — hosting and delivery of images shown on the Site.
• Google Maps — an embedded map on our Contact page. When that page loads, your browser requests content directly from Google, which may process your IP address under Google’s privacy policy.

9. International Transfers

Our Site is hosted in India. Some of our service providers (such as Google and Cloudinary) may process data on servers located outside India. Where personal data is transferred internationally, we take reasonable steps to ensure it receives a level of protection consistent with this policy and applicable law.

10. Security

We take reasonable technical and organisational measures to protect your data, including encryption of data in transit (TLS/HTTPS), an access-controlled administration area restricted to authorised staff, and secure management of credentials and secrets. No method of transmission or storage is completely secure, but we work to protect your data against unauthorised access, alteration or loss.

Subject to applicable law (including the DPDP Act and, where it applies, the GDPR), you have the right to:

• request access to the personal data we hold about you;
• request correction of inaccurate or incomplete data;
• request erasure of your personal data;
• withdraw consent at any time (for example, by unsubscribing); and
• lodge a complaint with the relevant data-protection authority.

13. Children

The Site is intended for dental and orthodontic professionals and other adult visitors. It is not directed at children, and we do not knowingly collect personal data from children. If you believe a child has provided us personal data, please contact us and we will delete it.

We may update this Privacy Policy from time to time. The effective date at the top of this page shows when it was last revised. Material changes will be reflected on this page, and your continued use of the Site after changes take effect constitutes acceptance of the updated policy.
